Service terms (Draft for legal review)
Eco Tech Electrical Contractors Limited T/A Property Cert Experts
Version v2.3 · Updated 11 October 2026
1. A free helping hand with compliance dates
This portal helps customers organise property compliance records, monitor certificate and inspection deadlines, and receive service reminders. There is no subscription, membership fee or charge for using the portal. We do not request or store bank account, credit card or debit card details through this service.
Uploading certificates is entirely optional. You can record inspection dates and use the reminder service without uploading a document. PDF certificates and supported JPG/PNG images can be uploaded if you wish.
2. Our London service area
We serve London within the M25, subject to our currently accepted postcode districts. A full postcode is required for every property. Our initial coverage list includes selected districts in E, EC, N, NW, SE, SW, W and WC; it is not a map of the M25 boundary and does not yet include every address inside it. Contact us if your postcode is not accepted. We do not currently offer this portal service for properties outside our accepted coverage list.
3. How reminders work
We aim to contact you around four weeks (28 days) before the next due date recorded in your account, using the email, phone and/or WhatsApp methods you select. Our team manages this follow-up; selecting phone or WhatsApp does not create an automated call or message. Account activation and security emails are sent separately.
Reminders depend on accurate dates and current contact information. If a due date is unknown, we can help you establish it, but a timed reminder cannot be scheduled until a date is recorded. If you add an inspection with less than four weeks remaining, we cannot give four weeks' notice.
Contact and delivery are not guaranteed. Messages may be delayed, blocked or missed, and we may be unable to reach you. Keep your own diary of deadlines and do not rely solely on this portal.
4. Quotes and your choice of contractor
We are electrical contractors and fire safety specialists. If you tick the separate optional quote-permission checkbox, we may include our free quote for the upcoming inspection with your reminder, by the contact methods covered by that permission. You do not need to request each quote separately. If you do not opt in, we send deadline-only reminders. You can withdraw permission or change its channels in Account settings at any time; our team must check your current preference before sending a quote.
You have no obligation to receive or accept our quote. Declining or ignoring a quote, or opting out of quotes, will not remove you from the platform, create a charge, or prevent you from continuing to use the free service. You may arrange the inspection with any suitably qualified third-party contractor.
Using the portal does not authorise paid work. Any inspection or other paid work requires a separate agreement covering its scope, price and applicable terms. Choosing another contractor does not create a portal fee.
5. Keeping records up to date
You are responsible for checking and maintaining your property details, contact information, inspection dates and next due dates. You can access and edit these records in your account.
If we carry out an inspection, our team will update the corresponding inspection record and dates as part of our service. If another contractor carries it out, we do not automatically receive or update that contractor's documents or inspection results. You must update your portal record yourself if you want accurate reminders and to use our service in future.
Only upload documents you are entitled to share. Avoid including unnecessary personal information about tenants or other people. A stored document or date is not confirmation that the property complies with the law.
6. Your responsibilities and limits of the service
The portal is a helping hand, not a compliance certification or legal advice service. It does not transfer legal responsibility for compliance to the company. The property owner, landlord or other responsible person remains responsible for identifying the applicable requirements, arranging inspections and remedial work, and meeting deadlines.
You remain responsible if you choose not to arrange an inspection, ignore a reminder or cannot be reached. Subject to the rights and liabilities that cannot legally be excluded, we do not accept responsibility for failures arising from inaccurate or outdated information you supply, your failure to arrange required work, or your reliance on a reminder instead of independently monitoring your obligations.
Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited. Your statutory rights remain unaffected.
7. Leaving and deleting your account
You may stop using the service at any time. In Account settings you can permanently delete your account after confirming your password and typing DELETE. Successful deletion removes your account and associated live portal records and uploaded certificates immediately. Download anything you need first; deletion cannot be undone.
An email being processed may temporarily prevent deletion until processing finishes. Outside the portal, our company policy is to retain inspection reports we issue for five years from their issue date, then delete them, unless a specific legal obligation or legal hold requires otherwise. Contact/address information forming part of a report follows that report's retention period. Other company-held email and contact records are scheduled for deletion within three months after account deletion. The portal does not perform those external deletions; our team must manage them separately. Hosting backups are also separate. Recipients' copies cannot be recalled; see the privacy notice.
8. Software and intellectual property
This portal is developed and managed by Eco Tech Electrical Contractors Limited T/A Property Cert Experts. The company's original software, text, branding, graphics and design are protected by applicable intellectual property rights, to the extent owned by the company. Third-party software, assets and materials remain subject to their respective owners' rights and licences.
You may use the portal for its intended purpose and keep copies of your own records and documents. Except where permitted by law or the applicable licence, you must not copy, reproduce, redistribute or commercially reuse the company's protected content, code or design without prior written permission. These terms do not give the company ownership of documents you upload.
9. Contact and service changes
For support, data requests or questions about these terms, email info@propertycertexperts.co.uk, call 020 3633 5557 Monday to Friday, 9 am to 5 pm UK time, or leave a message on WhatsApp.
We may maintain, change or discontinue this free service. Material changes will be communicated through the portal or account contact details. Availability is not guaranteed; keep independent copies of important records.
